Sorted Tax provides fixed-fee, online UK tax filing services. When you use our website or services, we collect and process personal data. This policy explains what we collect, why we collect it, how we use it, and your rights under UK GDPR and the Data Protection Act 2018.

- Directly from you when you complete our intake forms via our secure portal (sorted.fillout.com)

4. Why we collect your data and the legal basis

- To perform our contract with you: We need your personal and financial data to prepare, review, and file your tax return with HMRC. Without this data, we cannot provide the service.
- Legal obligation: As an HMRC Authorised Agent, we are required to retain certain records and comply with applicable tax and anti-money laundering regulations.
- Legitimate interests: We use analytics data to understand how our website is used and to improve our services, where this does not override your rights and interests.

- Prepare and file your Self Assessment tax return or Capital Gains Tax return with HMRC

- Comply with our legal and regulatory obligations as an HMRC Authorised Agent
- Improve our website and services using anonymised analytics data
We will never sell your personal data to third parties. We will never use your data for purposes incompatible with those listed above.
6. Who we share your data with
We share your data only where necessary and with the following parties:
- HMRC: We submit your tax return and associated data to HMRC on your behalf, as your authorised agent.
- Fillout (sorted.fillout.com) — secure intake forms and document upload
- Google Analytics 4 — website analytics (anonymised)
- Crisp — live chat and customer support

- Xero — accounting software
All third-party providers are required to handle your data securely and in compliance with UK GDPR. They process data only on our instructions and not for their own purposes. We do not transfer your data outside the UK or EEA except where covered by appropriate safeguards.
7. How long we keep your data
We retain your personal and financial data for 6 years from the date your tax return is filed. This is in line with HMRC record-keeping requirements and our legal obligations. After this period, your data is securely deleted. You may request earlier deletion in certain circumstances (see Section 9).

Our website uses cookies to function and to help us understand how it is used. Cookies are small files stored on your device.
